How to Add an Email Signature (3 Steps)

1

Create your signature

2

Click “Copy signature”

3

Paste it into your email app's signature settings and save

Once your signature is saved and set as the default for new messages, it's added to the bottom of every new email. You can choose a separate default for replies and forwards. The steps for Gmail, Outlook and phone apps are below.

Tip: When your signature is ready, send yourself a test email. Check how it looks on desktop and on your phone, and make sure the phone, email, website and social links go to the right place.

Add a Signature in Gmail (Desktop)

  1. ⚙ Settings
  2. See all settings
  3. General
  4. Signature
  1. Open Gmail, click the gear icon (Settings) at the top right and choose See all settings.
  2. On the General tab, scroll down to Signature and click Create new. Give your signature a name, such as “Work”.
  3. Click into the signature box on the right and paste your signature (Ctrl+V on Windows, ⌘+V on Mac).
  4. Under Signature defaults, choose which signature to use for new emails and for replies and forwards.
  5. Scroll to the bottom and click Save Changes. If you skip this step, your changes won't be saved.

Tip: Gmail signatures have a 10,000-character limit, and images count towards it. To show your signature above the quoted text in replies, tick the option under Signature defaults that inserts the signature before quoted text.

Add a Signature in Outlook

New Outlook and Outlook on the web (Outlook.com, Microsoft 365)

  1. ⚙ Settings
  2. Accounts
  3. Signatures
  1. Open Settings from the gear icon at the top right and go to Accounts > Signatures.
  2. If you have more than one account, choose the one the signature is for. Click New signature and give it a name.
  3. Paste your signature into the editing box.
  4. On the same screen, choose whether the signature is added automatically to new messages and to replies and forwards. Then click Save.

Classic Outlook (Windows desktop)

  1. File
  2. Options
  3. Mail
  4. Signatures
  1. Go to File > Options > Mail and click Signatures. In a new message window, Message > Signature > Signatures opens the same screen.
  2. Click New, name your signature and paste it into the editing box below.
  3. In the default signature section on the right, choose your email account, then pick the signature for new messages and for replies and forwards.
  4. Click OK to save.

Tip: If the logo doesn't appear after pasting into Outlook, try pasting the signature into a blank new message first, copying it again from there, and then pasting it into the Signatures screen.

Add an Email Signature on Your Phone (iPhone and Android)

Signature options on phones depend on the app you use. For the steps below, copy the text version of your signature with “Plain text for phone”. That version doesn't include the logo or social icons.

Gmail app (Android)

  1. ☰ Menu
  2. Settings
  3. Your account
  4. Mobile signature
  1. In the Gmail app, tap the menu (☰) at the top left, scroll down and open Settings.
  2. Choose the account you want to add a signature to.
  3. Tap Mobile signature, paste your plain-text signature and tap OK.

Gmail app (iPhone)

  1. ☰ Menu
  2. Settings
  3. Signature settings
  4. Mobile signature
  1. In the Gmail app, tap the menu (☰) and open Settings.
  2. Go to Signature settings and turn on Mobile signature.
  3. Paste your plain-text signature into the box. It's saved when you go back.

If you haven't set a mobile signature in the Gmail app, the signature you set on desktop is added to new messages. If you use a mobile signature, edit it separately in the app.

iPhone Mail app

  1. Settings
  2. Apps
  3. Mail
  4. Signature
  1. Open Settings on your iPhone and go to Apps > Mail. On older iOS versions, the path is Settings > Mail.
  2. Tap Signature.
  3. Choose All Accounts or a separate signature per account, and paste your plain-text signature.

Outlook app (iPhone and Android)

  1. In the Outlook app, open Settings.
  2. Under Mail, tap Signature and paste your plain-text signature.
  3. If you have several accounts, you can turn on a per-account signature and set one for each.

What Makes a Good Professional Email Signature?

✍️
Keep it short. Start with your name, title, company and the contact details people actually need. Extra details only add clutter.
🎨
One font, one accent colour. Use your brand colour as the accent and keep everything else simple.
📱
Make it readable on phones. Avoid very wide images and tiny text, and check how it looks on your phone.
🔗
Make contact details clickable. The generator turns phone numbers, email and website into links automatically.
🖼️
Don't make the whole signature one image. Text inside an image can't be selected, copied or linked, and it may not show at all when images are blocked. Keep your details as text and add the logo separately.
👥
Use one template across your team. The same template, font and colours keep company emails consistent.

If your emails land in spam, changing your signature alone probably won't fix it; sender reputation, technical setup and content matter too. Try the free email spam checker and my guide on keeping emails out of spam.

Signature Not Showing or Looks Broken?

1
The logo isn't showing: Check the image address in a private browser window. The image may not be public, or the link may have changed. If the recipient's app blocks external images, it loads once they choose to show images.
2
The signature doesn't appear on new emails: In Gmail, check that you clicked “Save Changes” and set Signature defaults. In Outlook, make sure the right signature is selected for new messages on the right account.
3
The signature shows as code or looks broken: Paste the “Copy signature” output into Gmail and Outlook, not the “Copy HTML code” output. If there are extra gaps, check the editing box for empty lines.
4
The signature looks different on your phone: Your mobile app may have its own signature. Check its phone signature settings.

How Your Details Are Stored

🔒 Your signature is generated in your browser
🚫 Form details are never sent to the tool's server

Loading the logo and social icons sends requests to the servers that host them: the social icons load from tufanerdogan.com, and your logo loads from the address you enter. The site's Google Analytics only receives usage events, such as which template was picked or which copy button was pressed; your form details are never included.

Build Your Email Signature

Pick a template, enter your details and copy your signature. Then add it to your email app's signature settings.

Frequently Asked Questions

How do I add a signature to my emails?

Create your signature and copy it with the “Copy signature” button. Then paste it into your email app's signature settings: in Gmail, Settings > See all settings > General > Signature; in new Outlook, Settings > Accounts > Signatures; in classic Outlook, File > Options > Mail > Signatures. Once it's saved and set as the default for new messages, it's added automatically.

What should an email signature include?

Start with your name, job title and company. Then add the details people need to reach you: phone, email or website. A logo and social links are optional; leave out anything you don't use.

How do I add a logo to my Gmail signature?

With this tool, enter the public image address of your logo, copy the signature with “Copy signature” and paste it into Gmail's signature box. Gmail's own signature editor also lets you insert images.

How do I add an email signature on my phone?

Copy the plain-text version with “Plain text for phone”. In the Gmail app on Android, go to Menu > Settings > your account > Mobile signature; on iPhone, Menu > Settings > Signature settings > Mobile signature. In the iPhone Mail app, go to Settings > Apps > Mail > Signature (Settings > Mail > Signature on older iOS versions).

Why isn't my logo showing?

The image address may be wrong, private or changed. Open it in a private browser window to check. If the recipient's email app blocks external images, the logo appears once they choose to show images.

Can I paste the HTML code into Gmail's signature box?

Pasting HTML code directly can make the code show up as text. For Gmail and Outlook, use “Copy signature”. The “Copy HTML code” output is for apps or custom setups that accept a signature as HTML.

How long can a Gmail signature be?

Gmail signatures can be up to 10,000 characters, and images count towards the limit. The generator warns you when a signature gets long.

Does this tool store my details?

Yes, but only in your own browser, so you can pick up where you left off. The signature is generated in your browser and your details are never sent to the tool's server. Use “Clear” to delete them.
